Claude Cowork vs. ChatGPT Work for Contractors: What They Actually Do

A quick note before we start: we checked these product details on July 10, 2026. Both tools are brand-new and still rolling out, so menus, limits, and availability may change after this is published. Verify anything important against the companies' own pages before you rely on it.

Two important AI products made news this week. On July 7, Anthropic began expanding Claude Cowork beyond its original desktop app — it can now run cloud-based tasks that keep going while your computer is closed, with access rolling out through the Claude website and mobile apps. Two days later, on July 9, OpenAI released ChatGPT Work, an agent built to handle longer jobs involving files, apps, research, documents, spreadsheets, presentations, websites, and recurring tasks.

That all sounds impressive. It also sounds vague. So what can these tools actually do for a subcontractor or contractor today? The honest answer: they can take over parts of your office workload, but they should not be allowed to make important business decisions by themselves. They're good at gathering, sorting, comparing, drafting, formatting, and tracking information. They are not dependable replacements for an estimator, project manager, safety professional, accountant, attorney, or business owner.

First, what is an AI “work agent”?

A normal AI chat works like a conversation: you ask a question, it answers. An AI work agent can take several steps to finish a larger assignment. For example, you might tell it: “Read these three supplier quotes, compare the prices and exclusions, build a spreadsheet, and flag anything that makes the quotes hard to compare.” Instead of just explaining how to do that, the agent reads the files, organizes the information, builds the spreadsheet, and hands back a finished comparison for your review.

Claude Cowork and ChatGPT Work can both work with documents, create finished files, do research, and use approved tools or connected apps. Their desktop versions can also work with selected local files and, in some cases, operate a browser or other programs on the computer. That last part is powerful — and it's exactly where you need to be careful.

These capabilities depend on your device, subscription, rollout status, permissions, and connected apps. Local file and computer access generally require the desktop application. A cloud task run from the website or a phone does not automatically reach everything stored on your office computer — you have to intentionally make that available.

What neither product does

Neither one automatically understands your company. It does not know:

  • Your normal labor production rates
  • Which general contractors pay slowly
  • What your crew can realistically complete
  • What scope your estimator intended to include
  • Whether a contract clause is acceptable to your company
  • Whether a field condition is safe
  • Whether a supplier's promise is believable
  • Whether a customer relationship is worth protecting

You must provide that context. And these agents don't magically turn bad information into good information: an incomplete daily report stays incomplete, a missing addendum stays missing, a poorly labeled folder stays confusing. The agent may organize the information better, but it can't guarantee the original was complete.

The honest case for Claude Cowork

Where it looks strong

Cowork has a longer public track record than ChatGPT Work — it was available before this week, and independent hands-on testing has already found it useful for jobs like organizing files, converting files, producing reports, and working with browser-based tools. That doesn't prove it'll work perfectly in your company, but it's more real-world evidence than we have for a one-day-old release. It can split a job into smaller parts and work on more than one at a time, use connectors, plugins, reusable skills, browser control, and approved folders, and run remote tasks you check later from another device. Its permission system matters for contractors: you choose which folders and tools it may use, and deletion-type actions get extra protection. That's not zero-risk, but it beats giving an agent unrestricted access to the whole company computer.

Where it falls short

Cowork currently requires a paid Claude plan — Claude Pro is presently $20/month, and higher-use Max plans cost substantially more. Web and mobile access is rolling out gradually, starting with Max customers. For direct access to local folders, browser sessions, and programs, the Claude desktop app generally has to be installed, open, and connected; a remote cloud session can't reach every file on an office computer unless you've made it available. A single job can also burn through a paid plan's usage faster than ordinary chatting, because one job may involve many separate AI actions. Most importantly, Anthropic warns that agentic computer use carries risk: a malicious instruction hidden in a webpage, email, or document can try to influence the agent (a “prompt injection” attack). Their safeguards reduce the danger but don't remove it.

The honest case for ChatGPT Work

Where it looks strong

ChatGPT Work is built to produce finished work instead of stopping at a written answer. OpenAI says it can gather information across apps, build documents, spreadsheets, presentations, reports, and simple web tools, and break a larger assignment into multiple steps. It can work with services like email, calendars, cloud drives, Slack, Microsoft Teams, SharePoint, CRMs, and project trackers when supported connections are available and approved — the exact actions depend on the app and the permissions you select. OpenAI is also offering limited ChatGPT Work access on the Free plan through the desktop app; ChatGPT Plus (presently $20/month) expands access across desktop, web, and mobile as the rollout continues. That gives a small contractor a low-cost way to experiment before committing.

Where it falls short

The biggest weakness is simple: it's extremely new — announced July 9, 2026. We don't yet have months of independent contractor testing showing where it's reliable, where it fails, or how much supervision typical projects need. A product demo is not the same as a proven company workflow. The rollout is gradual, so some accounts won't see Work immediately. At launch, Work conversations created in the cloud don't necessarily appear in the desktop Work environment, and vice versa — which can confuse a beginner who expects every task to show up everywhere. Agentic features also share usage allowances on some personal plans, so a long task that reads many files and creates several deliverables can use far more capacity than a normal chat. And like Cowork, it faces prompt-injection and permission risks; OpenAI recommends enabling only the apps a task needs, avoiding vague instructions, and stopping a job when the agent behaves unexpectedly.

Which one is better?

There's no honest universal winner. The best product is the one that completes your actual company work correctly, with the least cleanup and an acceptable level of risk. Don't choose based on a dramatic online video — choose based on a controlled test using your own work.

A simple 100-point comparison test

Give both products the same copied bid invitation or supplier-quote package. Don't show either product the other's answer. Then score each one:

Real contractor and subcontractor uses to start with

The safest first jobs have three features: the information already exists, the desired output is easy to describe, and a human can quickly check the result. Here are several that fit — with a copy-paste prompt for the first few. A rule that belongs in every one of these: tell the agent “Do not guess,” and make it cite the file and page for every important fact.

1. Turn a bid invitation into a bid-intake sheet

Give it a copy of the invitation, the email text, addenda notices, the relevant plan/spec files, and your normal scope description. Ask for a one-page sheet: project name, GC/customer, address, bid date and exact time, submission instructions, likely scope, key spec sections, addenda, insurance/bonding/prequal requirements, missing documents, and questions for a human.

Read this bid invitation and the attached documents. Create a one-page bid-intake sheet. Include the project name, customer, location, bid date and time, submission method, likely scope for our company, important specification sections, addenda listed, insurance or bonding requirements, missing information, and recommended next action. Do not guess. For every important fact, tell me which file and page it came from. Put anything uncertain in a section called "Needs Human Review."

Human check: open the original invitation and personally confirm the bid date, bid time, submission method, scope, addenda, and any mandatory meetings. Those are too important to trust without checking.

2. Find possible scope gaps

Useful — but it is not a complete estimate or takeoff. Give it your scope checklist, the relevant spec sections and drawing sheets, addenda, and your proposal exclusions. Don't start by handing it a disorganized 2,000-page plan set; begin with the documents most likely to contain your scope.

Compare our scope checklist with these specifications, drawings, and addenda. Make a table with four columns: requirement, document reference, whether it appears in our checklist, and recommended question. List contradictions between the drawings and specifications separately. Do not decide that an item is included or excluded — identify it for an estimator to review.

Human check: an experienced estimator must verify every finding against the original documents. The agent is a second set of eyes — not the estimator of record.

3. Compare supplier or subcontractor quotes

This may be one of the best first uses, because quote comparisons are repetitive, time-consuming, and easy to verify. Give it copies of each quote, your requested quantities, and your comparison template if you have one.

Compare these quotes line by line. Normalize the descriptions and units where possible, but do not silently convert anything you are unsure about. Show base price, taxes, freight, lead time, quote expiration, alternates, exclusions, payment terms, and anything included by one supplier but not the others. Create a spreadsheet and add a final column called "Human Verification Needed."

Human check: confirm quantities, unit conversions, freight, taxes, delivery dates, alternates, and exclusions. The lowest number is not always the lowest complete cost.

4. Draft a change-order support package

Give it daily reports, approved labor rates, time and equipment records, supplier invoices, relevant emails, dated photos, and the applicable notice/change-order clause. Ask for a timeline, cost tables (labor, material, equipment, subs), a list of supporting documents, a draft narrative, and a list of missing evidence. Guardrail: do not let it invent labor rates, markup, quantities, contract entitlement, or schedule impact. A project manager approves every number and every contractual statement before the package leaves the company.

5–9. More jobs that fit the rules

  • Clean up rough foreman notes into a consistent daily report (crew size, work completed, deliveries, equipment problems, delays, safety notes, follow-ups) — and tell it not to add facts that weren't in the notes.
  • Maintain an RFI and submittal follow-up list (open items, dates, responsible party, days outstanding, recommended follow-up). Start read-only; don't let it send emails until the process is proven.
  • Build a weekly project-health report from the schedule, minutes, logs, and recent dailies — one page of what's done, what's planned, decisions needed, late material, and open questions.
  • Organize a closeout package: index it, find warranties, O&M manuals, inspections, and training records, flag missing items, and propose consistent filenames — on copies only, never deleting originals on the first test.
  • Build an expiration tracker for insurance certs, licenses, certifications, equipment inspections, and training records (document, company/employee, expiration date, reminder date). A human confirms every date before you rely on it.

Jobs you should not hand over completely

Do not let either agent make these decisions by itself:

  • Final bid price or markup
  • Final labor production assumptions
  • Contract acceptance
  • Change-order entitlement
  • Safety decisions
  • Engineering or code decisions
  • Payroll changes
  • Banking or payment activity
  • Hiring, firing, or discipline
  • Legal notices
  • Promised delivery or completion dates
  • Final submission of a bid, proposal, RFI, submittal, or change order

The AI can gather information and prepare drafts. The responsible person still owns the decision.

A beginner's guide to getting started safely

You don't need to be a programmer or learn any special computer language. You need one safe folder, one small assignment, and enough patience to check the answer.

Step 1: Create a safe test folder

Name it: AI TEST - COPIES ONLY

On Windows: go to your desktop, right-click an empty area, choose New, then Folder, type the name, and press Enter. On a Mac: click an empty area of the desktop, click File at the top, click New Folder, type the name, and press Return.

Put copies — not originals — of two or three harmless business files in it: an old bid invitation, a completed daily report, two supplier quotes, a sample closeout checklist. Do NOT start with banking records, Social Security numbers, payroll, employee medical information, passwords, confidential customer records, or active legal disputes.

How to start with ChatGPT Work

  1. Open your browser, go to chatgpt.com, and sign up or log in.
  2. Check your privacy setting: on personal Free/Plus/Pro accounts, model-improvement data sharing is on by default but can be turned off (Settings → Data Controls → “Improve the model for everyone”). Business/Enterprise/Edu workspace data is excluded from training by default.
  3. Decide Free vs Plus: limited Work access is available on Free through the desktop app; Plus ($20/month) expands access. Start Free when the feature is visible; upgrade only when you have a reason.
  4. Install the desktop app from chatgpt.com/download (Windows or macOS) and sign in with the same account.
  5. Find ChatGPT Work in the mode/product menu. If it's not there yet, confirm your account and plan, restart the app, check for an update, and try again later — rollout reaches accounts at different times.
  6. Give it ONLY the test folder — not your whole Documents folder, network drive, or accounting/payroll folders.
  7. Keep approval turned on (“Always ask” / “Any changes” / “Important actions”), not “Never ask.”
  8. Paste the starter prompt below, using your first bid invitation or quote comparison.
  9. Review the finished work — don't judge it by how professional it looks. Open the originals and check dates, names, prices, quantities, page references, scope, exclusions, and missing information. Tell it exactly what it got wrong so it can fix it.

How to start with Claude Cowork

  1. Open your browser, go to claude.ai, create an account, and sign in.
  2. Choose a paid plan: Cowork requires one. Claude Pro ($20/month) is the lowest-cost personal option with Cowork; Max plans are for heavier agent use.
  3. Check your privacy setting: on Free/Pro/Max consumer accounts, chats are used for model improvement only if you've allowed it (Settings → Privacy → “Help Improve Claude”). Team and Enterprise inputs/outputs aren't used for training by default.
  4. Install Claude Desktop from claude.com/download and sign in with the same account.
  5. Select Cowork near the message box or mode selector. Paid users get it through the desktop app; web and mobile access is expanding gradually. If it's missing, confirm your paid plan, restart, update, and use the desktop app while you wait.
  6. Select only the AI TEST - COPIES ONLY folder — never your entire computer, and never payroll, banking, legal, or employee folders. Keep backups.
  7. Require approval: tell it “Ask me before you move, rename, delete, send, submit, purchase, or change anything.” Keep deletions under human approval.
  8. Paste the same starter prompt and the same files you used for the ChatGPT test, so you get a fair comparison.

A safe first prompt for either product

Copy and paste all of this, then attach your test files:

You are helping me test AI for a contracting company.

Rules:
1. Work only with the files I provide and the folder named "AI TEST - COPIES ONLY."
2. Do not delete, move, rename, or overwrite any original file.
3. Do not send emails, submit forms, make purchases, contact customers, change schedules, or promise dates.
4. Do not use banking, accounting, payroll, employee, or password information.
5. Ask me before taking any action that changes something.
6. Do not guess. When information is missing, write "Not found."
7. Show the file name and page number supporting each important fact.

Task:
Read this bid invitation and its attachments. Create a one-page bid-intake sheet containing:
- Job name
- General contractor or customer
- Project address
- Bid due date and exact time
- Submission instructions
- Our likely scope
- Important drawing and specification references
- Addenda mentioned
- Insurance, bonding, or prequalification requirements
- Missing documents
- Questions that require a human answer
- Recommended next human action

End with a section called "What I Am Not Sure About."
Do not send or submit anything. Return the completed sheet to me for review.

What to say when you get stuck

You can ask the regular ChatGPT or Claude chat to guide you. Take a screenshot of the problem — but make sure it doesn't show a password, security code, bank account, customer secret, or private employee information — and paste this:

I am a beginner and I am not comfortable with computers.
I am using a [Windows computer, Mac, iPhone, or Android phone].
I am trying to [describe what you are trying to do].
Here is a screenshot of what I see.
Tell me only the next step. Use simple words and tell me exactly what to click.
After that step, stop and wait for me to say "done." Do not skip ahead.

You don't need to understand everything at once. Do one step, say “done,” and ask for the next.

A practical first-week test

  • Day 1 — Install and protect: create the test folder, check the privacy setting, install the desktop app, find Work or Cowork. Don't connect email or accounting yet.
  • Day 2 — One bid invitation: create the bid-intake sheet and verify every important fact. Record what it got right, what it missed, what it invented, and how long you spent checking.
  • Day 3 — Compare two quotes: ask for a spreadsheet (price, freight, taxes, lead time, exclusions, expiration) and verify every number.
  • Day 4 — Clean up field notes: turn old foreman notes into a daily report; check whether it added facts that weren't provided.
  • Day 5 — Organize copied closeout files: let it index a copied folder and list missing items; don't permit it to move or delete originals.
  • Day 6 — Repeat the best task with different files. The first success might be luck; repetition shows whether it's dependable.
  • Day 7 — Make a business decision: Did it save real time? Was the output correct? Was checking it faster than doing it yourself? Did it behave safely? Can an employee repeat the process? Is the subscription cost justified? Buy more AI when the math and results make sense — not because it looks exciting.

Data and security rules for contractors

Treat an AI agent like a brand-new temporary employee: give it only the information and authority the current job requires. For an early test:

  • Use copies of files, and back up the originals.
  • Limit it to one folder.
  • Keep email access read-only when possible.
  • Do not connect banking or payroll.
  • Do not provide passwords or one-time security codes.
  • Do not allow automatic purchasing.
  • Do not allow automatic contract or bid submission.
  • Review outgoing messages.
  • Stop the task if the agent starts doing something unexpected.

Both OpenAI and Anthropic warn that agentic systems can be influenced by unsafe instructions hidden in websites, messages, or files. Both provide safeguards, but neither claims those safeguards eliminate every risk.

The bottom line

Claude Cowork and ChatGPT Work aren't imaginary future products — they can do useful contractor office work today: read and organize documents, compare bids and quotes, build spreadsheets, draft project reports, track open items, prepare change-order support, organize closeout packages, and help a PM prep for meetings. But they can also misunderstand documents, miss information, invent details, or take an unwanted action when given too much authority.

The right way to begin is not to “turn the company over to AI.” It's this: pick one repetitive office job, use copied low-risk files, describe the result clearly, limit the agent's permissions, check every important fact, measure the time saved, and repeat the test. You're not too old, too busy, or “not technical enough” to try it. Start with one folder and one assignment — you already know the hard part, which is your trade and your business. The AI is just a new helper. You're still the person responsible for the work.
